INCLEMENT WEATHER  PROCEDURES FOR
WEATHER RELATED CANCELLATION

Games and/or Training sessions may be
cancelled by HSC for the following reasons,

1. If the weather is considered dangerous to train
in, (i.e. Thunderstorms, lightening or extreme
temperatures of heat, cold, ice, snow, etc).

2. If training field conditions are deemed not
suitable for practice (i.e. Major amounts of water
remaining on turf, mud, or general disrepair that
would make training unsuitable or dangerous).

3. Lastly, assume training sessions/games WILL
BE HELD even if lightly raining. HSC encourages
each parent to decide the suitability of the
weather conditions for their own child and to
attend/not attend accordingly.

If sessions/games are being cancelled, you will be
notified by your team coach.
For Saturday
morning Recreational Soccer here is the
process followed:

a. Club and/or Township Officials determine need
for cancellation

b. Club posts updates on website (www.
hainesportsoccer.com) - first post no earlier than
Friday at 4pm; last posted update on Saturday
morning at 7:30am afterwards we are the fields
and will initiate the phone tree first

c. Club posts updates on hotline at 609-702-1306

d. Club sends broadcast email to entire program
list for each age group (after Saturday at 7:30am
club voicemail and phone tree is fasted update
since we're at the fields)

e. Club initiates Weather Cancellation Phone Tree
by calling each team’s coach/team parent

f. Team Coaches begin calling respective players

Please verify with your team’s coach/team parent
the correct contact information for Saturday
mornings. The information gathered during the
online registration is what is used for all updates.
Hainesport Soccer Club makes every attempt to maximize playing
time during the program however, despite many attempts we do
not control the weather.  As a policy, each session will start and
end on time irrespective of the weather excluding conditions which
bring imminent risk to the participants, spectators, and/or coaches
(e.g. Lightning) or if the weather is likely to damage the fields or
create unsafe playing conditions (e.g. standing pools of water).

Accordingly, sessions will ONLY be cancelled if there is an
immediate threat or possible harm due to hazardous
weather (such as lightning) and/or if the Hainesport Parks
and Recreation Department determines the fields are too
wet for safe play.

In either case, your coach or team "call-list" coordinator will
attempt to contact each parent at the earliest possibility. Once a
cancellation is determined and the phone tree initiated, there is no
reverse or partial reinstatements. If we have to cancel one time
slot all get cancelled. If a cancellation occurs, we will likely will not
have a make up due to field scheduling constraints - but if it is
possible we will communicate that to you as quickly as it can be
determined.

If you do not receive a timely call or email announcing program
cancellations, please verify your online contact details provided
during registration as your email may have changed or be blocking
our attempts to contact you. See below for additional information
on the procedures for communicating a cancellation (e.g. emails,
website, hotline).

As a final note, as a parent of a child in the program, HSC expects
and relies on you, the parent/guardian to decide what is
appropriate weather for play versus inappropriate weather for
play. If you don't like standing in the rain - don't show up. On the
other hand, if your child enjoys playing in the rain and you don't
mind it either - we'll see you on the fields!
